The Frictionless Patient Experience

Even when patient appointments go well, there are often dozens of touchpoints between the moment a patient first hears your name and when they become fully integrated into your practice. Reducing friction in that journey is one of the most valuable reflection exercises clinicians and staff can do.

A frictionless patient experience doesn’t mean fewer steps—it means fewer barriers at each step.

This activity can help you:

  • Identify where your team’s time is being consumed

  • Uncover communication breakdowns with patients

  • Clarify where support, automation, or delegation could unlock capacity

We recommend completing the Frictionless Patient Experience activity with both staff and providers at your clinic. Look for patterns, opportunities to re-sequence parts of the journey, or processes you could automate—or remove entirely.

Mapping Your Patient Journey

To begin, consider all of the interactions that occur between the time a patient first learns about you and the moment they return for their second appointment.

Why this timeframe? Because it captures the full arc of onboarding: marketing to initial contact, appointment prep to delivery of care, and follow-up to retention.

Some common contact points to map include:

  • Patient discovers you via social media

  • They send a message to request your booking link

  • They book their initial appointment

  • Your staff follows up to remind them to complete intake forms

  • You review forms and complete any pre-visit preparation

  • The initial appointment takes place (or gets rescheduled)

  • You provide a care plan, lab requisition, or supplement protocol

  • Patient emails follow-up questions

  • You write letters or referrals to other providers

  • You review labs, address patient research, or answer additional questions

  • The second visit is rescheduled or altered

  • Patient returns for their second visit

Your process may have more or fewer steps—but mapping each one allows you to pinpoint where friction lives in your patient care.

Why Communication Creates the Most Friction

Many bottlenecks in care stem from small communication gaps. Patients may mishear instructions, overlook forms, or misunderstand policies. Sometimes, the way we emphasize certain details—like the brand of a supplement instead of the dose—creates dependencies that lead to follow-up questions or roadblocks.

When patients feel unsure, they pause. And when they pause, you work harder to get them back on track.

Friction Is Higher in Naturopathic Practice

Unlike conventional providers, NDs often lack the resources and system-level support to automate, delegate, or codify their care. Without established guidelines or official documents, many are left:

  • Finding answers to clinical questions alone

  • Writing individualized handouts and supplement protocols

  • Creating communication letters to justify care to MDs or other professionals

This level of manual labour adds significant stress—and often happens outside of patient-facing hours.
